🎺 🎺 🎺 March-a-thon (MAT) Fundraiser     📧Contact: fundraising@westwoodband.org

The March-a-thon (MAT) is Westwood Area Band Boosters’ largest annual fundraising campaign, powering essential programs and experiences for our band students. This high-impact, five-week donation drive runs from late summer through October and relies on a dedicated team of volunteers to make it a success.

What the MAT Coordinator Does?

The MAT Coordinator leads the charge by:

  • Collaborating with directors and drum majors to set student goals and incentives
  • Working with our IT coordinator to tailor the online donation platform
  • Partnering with the communications team to launch fundraising-specific web pages and social media campaigns
  • Tracking individual student donations and assisting parents and donors with company matching opportunities

Volunteer Roles That Make It Happen

Supporting the coordinator is a team of volunteers who:

  • Solicit in-kind donations and sponsorships from local businesses
  • Produce celebration banners and sponsor decals for trucks
  • Deliver weekly treats (candy or popsicles) to top-performing sections
  • Design show-themed artwork for the band hall
  • Maintain a fundraising progress meter to keep students motivated
  • Organize student celebrations like pie night, movie night, and ice bucket challenges

Who Should Volunteer?

We welcome volunteers who:

  • Have flexible schedules and enjoy remote work (95% of tasks can be done from home)
  • Are passionate about promoting the band to the community
  • Excel in organization, IT, graphic design, spreadsheets, or marketing

Work begins in early summer and wraps up in October with the final distribution of student incentives.

🪵🙂Blockheads: A Westwood Band Tradition  📧Contact: blockheads@westwoodband.org

Unlike yard signs promoting participation in Westwood activities or sports, Westwood Band creates custom wood-block lawn ornaments for each student their first year of band.  We call them “blockheads,” and they’re made from landscape timber, 2 × 4s & rebar. Help is needed to cut, sand, paint, and decorate blockheads for anyone new: students, drum majors, band directors and even principals. Blockheads are prepped and decorated at a volunteer home. Parent volunteers work alongside students on this special Westwood Band tradition.

🛠️ Set Construction  📧Contact: volunteers@westwoodband.org

Each season kicks off with a flurry of creativity as volunteers come together in August and September to help build and finish props for the Westwood Band show. No experience? No problem! Tasks include light construction work like hammering, cutting, drilling, stapling, and painting—everything needed to bring the visual elements of the show to life.
Props serve as dynamic backdrops that enhance the performance and reinforce the show’s theme. All construction takes place during band rehearsals, making it easy to jump in and lend a hand while staying connected to the action.

🚌🧸Chaperones | 📧Contact: chaperones@westwoodband.org

Parent volunteers are needed to ride the bus with the band students to and from football games and marching competitions to ensure their safety and address health issues that arise.  Chaperones also help band students get ready to perform and move the drum major platforms out onto the field. Volunteers need to be at the school between 4:30 and 5:00 PM on football game days and return to the school with the students after the game (around 11:00 PM). For competitions, the length of time chaperoning varies depending upon the location of the event and whether the event has preliminaries and finals.

Chaperones do not have to be available for every event, but rather can volunteer at events that fit their schedule.  If you have first aid training/certification, please consider volunteering to chaperone.  You’re guaranteed to learn teenage slang with which to impress or embarrass your children at a later date.

🚛🛠️ Roadies | 📧Contact: roadies@westwoodband.org

Roadies experience the thrill of supporting band students directly on the field, witnessing the band energy firsthand!  They handle crucial tasks such as transporting, assembling and staging props for each performance, helping ensure each performance runs safely and smoothly.  These shifts last through band performances at football games or competitions, primarily on Friday evenings and Saturdays.  Join this team if you like being an active member of a support team.

🏈🍕Game day meals | 📧Contact: meals@westwoodband.org

As part of registration fees, band students are provided with a meal before football games, exhibitions and on competition days. This ensures every kid gets the fuel they need to perform to their best.  GDM coordinators plan and order all the food, but they need a small army of volunteers to show up and help get it distributed to all the kids & cleaned up in a timely fashion.  Volunteers set up the Westwood cafeteria or set up tables and tents in competition parking lots to serve students their food. On game days, volunteer shifts are from 3:30 – 5:00 pm.  You can volunteer as frequently as you want.  It is a great way to see your child interacting with their band friends and witness the nice manners displayed by our band kids.

🚚🛣️Truck Drivers | 📧Contact: drivers@westwoodband.org

When the band travels during the fall and spring, equipment, props and instruments must travel too. If you have experience and/or are comfortable driving a large (automatic transmission) box cargo truck, please consider being on the list for driving the percussion and equipment/instrument trucks.

A CDL is required for operating a rental tractor to pull our customized equipment trailer.  If you have a CDL or are interested in getting this license, contact our truck driver lead.

🧑‍🎤👕👖Uniforms | 📧Contact: uniforms@westwoodband.org

Uniform coordinators fit each student during band camp and manage uniform assignments throughout the season (marching & concert).  The coordinator works with a team of motivated band students to sort, send out for laundering and put away uniforms after performances or cleaning.  Parent volunteers help this team distribute practice and show shirts to students and families before school starts.  On game or competition days parent volunteers are needed BEFORE to help in the band hall with traffic flow, sock/glove sales and exit inspection.
Sign up here to join the Uniform team!

🎺🧑‍🤝‍🧑Parent Coordination & Engagement | 📧Contact: whs_rep@westwoodband.org

Our parent volunteers play a vital role in building community, supporting students, and keeping families informed throughout the marching band season. This role is divided into three key positions:

Section Parents – Each instrument section has one or two Section Parents who:

  • Communicate with families in their section about upcoming events and key dates
  • Organize rehearsal snack schedules during marching season
  • Coordinate goody bag distribution before competitions
  • Assist with homecoming mum production for students
  • Welcome and guide new parents, helping them acclimate to section-specific traditions and expectations
  • Serve as the primary liaison between their section’s families and the WABB board

Westwood Reps – oversee and support all Section Parents. Their responsibilities include:

  • Setting the master calendar for snacks and goody bags
  • Leading band-wide family engagement initiatives
  • Spearheading cherished traditions such as the Homecoming Breakfast, Senior Celebrations, and the Spring Band Banquet

Parent Reps – serve as a central source of information to help all new families learn about band and how to plug in. They:

  • Keep parents informed about band activities, deadlines, and events
  • Update and distribute the Spring and Fall Parent Guides
  • Host parent meetups to foster connection and community

👕🎩Spiritwear | 📧Contact:  spiritwear@westwoodband.org

Our Spiritwear parent volunteers help energize the band community by designing and distributing custom apparel that celebrates each season’s show and school spirit. From the stands to the hallways, Spiritwear helps unify our band family and showcase our pride in style!
Responsibilities:
• Design and source custom, show-themed apparel available at the start of the band season
• Manage sales of show shirts for families and students
• Oversee inventory and distribution of standard Westwood Band merchandise

📸🎞️ Photography & Videography | 📧Contact: communications@westwoodband.org

The visual artistry of marching band—from crisp formations, vibrant uniforms to the bright smiles—is as unforgettable as the music itself. Parent volunteers with a passion for photography or videography help capture these moments and preserve the memories for our entire band family. Volunteers can use their talent at:

  • Photograph rehearsals, games, exhibitions, and competitions
  • Film performances and highlight reels to showcase student talent
  • Share images and videos with families, students, and the band community

A photographer is desired for one afternoon in late July each year to take individual band portraits of every student and then make those images available to the band family for reasonable cost as prints or buttons.

Delivery takes place Friday evening and all day Saturday. Volunteers can sign up for flexible shifts—though a minimum of 4 hours is suggested.

🌸🎓 Spring Band Traditions | 📧Contact: whs_reps@westwoodband.org

Celebrate the season and honor our students by volunteering for these cherished spring events.

Band Banquet – Each spring, the Westwood Band wraps up the year with a festive banquet planned by student leaders and WABB. Volunteers help with:

  • Ticket sales and program design
  • Decorations and catering coordination
  • Photo booth setup and event greeters

No minimum time commitment—most help is needed on banquet day to transform the cafeteria into a celebration space.

Mini Blockheads – Create 12” blockhead replicas for each senior, gifted at the banquet as a fun and meaningful keepsake.

Senior Boutonnieres – Assist with preparing and pinning boutonnieres on seniors at their final spring concert.
